Client Onboarding Coordinator 

Location: Frisco TX | Type: Full-Time | Industry: CPA / Accounting Firm This is NOT a remote position at this time. This position is in-person in our Frisco TX office.

About the Role 

We are looking for a proactive, organized, and client-focused Client Onboarding Coordinator to join our team. This person will be the first point of contact for new clients and play a critical role in ensuring a seamless, welcoming transition into our services. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced, team-centered environment. In addition to onboarding responsibilities, this role will provide occasional executive assistant support to the firm owner. 


Key Responsibilities 

  • Serve as the main liaison for new clients during the onboarding process 
  • Coordinate internal kick-off meetings and assign onboarding tasks to internal departments 
  • Send engagement letters and collect necessary documentation (bank info, login credentials, previous records, etc.) 
  • Set up clients in firm systems  
  • Maintain and update internal onboarding tracker and client status dashboards 
  • Communicate expectations clearly to clients and ensure timely follow-ups 
  • Work closely with accounting and tax teams to ensure a smooth hand-off post-onboarding 
  • Identify and flag potential roadblocks early, proposing solutions to keep things moving 
  • Maintain high levels of professionalism and client satisfaction throughout the process 
  • Provide executive assistant support to the firm owner, including managing her calendar, organizing emails, and handling other administrative or scheduling tasks as needed 

Qualifications 

  • 2+ years experience in a client service, administrative, or onboarding role (experience in a professional services or accounting firm is a plus) 
  • Strong project coordination and time management skills 
  • Excellent written and verbal communication 
  • Comfortable with technology, including cloud-based tools and software apps 
  • Self-starter who thrives in a robust work environment 
  • High attention to detail and ability to juggle multiple projects and deadlines 
  • Friendly, client-first mindset
